BREW BANDITS
BOOKING TERMS & CONDITIONS
These terms apply to every event booking and site service arranged with Brew Bandits, operated by Brew Bandits, ABN 63378452925 ("we", "us"). By confirming a booking you ("the client") agree to these terms.
1. Enquiries and quotes
1.1 Submitting an Event Bookings or Book Us form is an enquiry only. It does not secure a date.
1.2 We'll reply within 2–3 business days with a written quote. Quotes are valid for 14 days.
1.3 For Book Us (regular on-site service), we may assess the site before agreeing to attend. We can decline any site at our discretion.
2. Confirming a booking
2.1 Your booking is confirmed once you've accepted the quote and we've received the deposit.
2.2 Dates are held on a first-come basis. We can't hold a date without a deposit.
3. Pricing and payment
3.1 Deposit: 30% of the quoted total, or $200 for bookings under $500, payable within 7 days of the quote.
3.2 Balance: payable 7 days before the event by bank transfer or card.
3.3 Minimum booking: 2 hours of service / $300 minimum spend.
3.4 Billing options:

Host pays (open bar): you pay a set package, or for drinks served up to an agreed cap, invoiced after the event.

Guests pay: guests buy their own drinks. If sales fall short of the minimum spend, the shortfall is charged to you.

Split: you cover an agreed amount or number of drinks, and guests pay after that.
3.5 Travel: included within 20 km of Helensvale. Beyond that, $1.00 per km or a flat fee as quoted.
3.6 Card surcharge: we don't surcharge.
3.7 Prices do not include GST as we are not currently registered.
4. Service time
4.1 Service hours are the start and finish times on your confirmation. We arrive about 45 minutes early to set up, and that time isn't charged.
4.2 Extending on the day is subject to our availability and billed at an additional cost per hour.
4.3 If service can't start on time because of the venue or the client (for example, access isn't ready), the booked hours still apply.
5. Site requirements
You're responsible for making sure the site provides:

A parking spot for the van within 20 m of the service area, on firm, level ground, about 3m long × 2.1m wide with 2.6m height clearance

Vehicle access arranged in advance, including gate codes, security sign-in and loading-dock times

No power needed: we're self-sufficient

Venue approval for a mobile food vendor, plus any council or venue permits the event needs
We hold a Queensland food business licence and public liability insurance of $20 million. We'll supply a certificate of currency on request.
If the site doesn't match what you told us on the booking form and we can't safely serve, the booking is treated as a client cancellation on the day.
6. Weather
6.1 Outdoor events should have a wet-weather plan with covered space or a nearby undercover area.
6.2 We may delay or stop service when conditions are unsafe, for example lightning, high winds or flooding. If we decide not to attend because of unsafe weather, you can choose a credit for a new date within 12 months or a refund of the deposit.
7. Cancellations and changes

More than 30 days before: full refund of the deposit, or transfer it to a new date.

14–30] days before: we keep the deposit, or transfer it once to a new date within 12 months.

Less than 14 days before: we keep the deposit.

Less than 48 hours before, or on the day: the full quoted amount is payable.
7.1 Date changes are free once, when requested more than 14 days out and subject to our availability.
7.2 A drop in guest numbers doesn't reduce the minimum spend.
7.3 If we have to cancel (for example, a vehicle breakdown or illness), we'll offer a replacement date or refund everything you've paid. Our liability is limited to that refund.
8. Food safety and allergens
8.1 We serve dairy and plant-based milks (soy, oat, almond) and products that may contain gluten, nuts and other allergens. Equipment is shared.
8.2 We can't guarantee any drink or food item is allergen-free. Guests with severe allergies should speak to our barista before ordering.
9. Conduct and safety
Our team can refuse service, or pack down early with no refund for the remaining time, if a guest behaves abusively or threateningly, or if the site becomes unsafe.
10. Photos
We may photograph the van and our drinks at your event for our social media. We won't post identifiable guests without consent. Tell us in the booking notes if your event is private and photos aren't allowed.
11. Liability
11.1 Nothing in these terms excludes rights you have under the Australian Consumer Law.
11.2 To the extent the law allows, we aren't liable for indirect or consequential loss. Our total liability for a booking is limited to the amount you paid for it.
11.3 We aren't responsible for delays or cancellations caused by events outside our reasonable control.
12. General
These terms are governed by the laws of Queensland. We may update them from time to time, and the version in force when you confirm is the one that applies to your booking.
